Position Title: Administrative Consultant

 

Organization: Dr. Gregg & Associates, Facial Plastic Surgery

Location: Cary, NC

Job Description: 
Mature and professional staff member to join our pleasant and team oriented office. Provides administrative support to ensure day-to-day operational functions for the medical practice are executed in a smooth and expeditious manner. Key responsibilities include managing patient relationship, scheduling consultations and appointments, managing incoming calls on multi line systems, maximizing EMR use, coordinating paperwork and participating in all office related activities and events. 8am-5pm Monday through Friday with flexibility to work extended hours on Tuesday/Thursday.

Responsibilities: 

  • Ensure timely, smooth, and efficient scheduling for all providers (ie. Physicians and RN).
    • MD
      • Responsible for daily oversight of MD schedule (efficiency, timeliness, appointment scheduling)
      • Maintain credentialing status of physician
      • Ensuring all applications are accurate and submitted in a timely fashion (Includes licensing, hospital privileges, etc.)
      • Supports MD as needed for work and personal projects
    • RN
      • Credentialing
      • Proper coordination of appointments with MD, as well as efficient scheduling of non-surgical patient schedule
    • Front Office
      • Manage front office duties, ensures proper collection of accounts receivables, appointment scheduling, reception and telephone, medical records
          • Checks daily batch for accuracy
          • Reception and Telephone:  Monitors patient contact with practice staff, ensuring such contact is cordial and professional. Ensures patients are greeted and efficiently registered upon arrival for service, and checked out and accompanied out at the conclusion of their visit
          • Sales of retail products to clients
  • Office Operations
    • Medical Records:  Safeguards all patient information in accordance with practice policies and HIPAA standards. Ensures appropriate organization of patient files and accountability for file location at all times. Monitors file information to ensure accuracy and completeness, coordinates transcription services, and regularly advises the administrator of status
    • Regulatory compliance and service standards
    • Ensure OSHA, HIPAA, and all other service standards are met at all times
    • Team Communication and collaboration: Prepared in advance for and active participant in staff meetings to ensure communication among functional areas
    •  Participates in ongoing staff training regarding specific individual or departmental functions and the interrelationships of such functions
    • Becomes a practical expert in Nextech practice management system
    • Provides statements to patients and submits to patient insurance as indicated
    • Coordinates computer systems, including software updating and daily backup
    • Prepares change envelope and credit card transaction receipts; reconciles petty cash.
    • Participates in Daily and Weekly financial close
    • Becomes thoroughly familiar with procedures and specialties of the MD and practice and will educate patients and manage inquiries
    • Manage the patient schedule to optimize utilization of practice and MD time
    • Safekeeping of Practice Assets:  Ensures all equipment and facilities are clean and useable, regularly and economically maintained, and constantly secured. Also provides staff training for new equipment prior to use.  Maintain oversight of technical equipment in the office:  computers, server, backup, printers, faxes, etc.
  •  Policies and Procedures:  Adheres to all operational policies and procedures on a daily basis
  •  Other Duties: Assist with online marketing efforts using social media and website platforms. Assist with open houses and special events. Performs other duties and assumes various responsibilities as determined by the Practice Administrator

Requirements:
Education and Experience:

  • Bachelor's degree required
  • Previous medical practice experience preferred
  • Previous management experience preferred

Salary/Benefits:
Salary + Vac + 401K (no Medical)
