Position Title: Medical Office Manager

Location: Triangle Area

Job Description: Busy practice in Cary, NC seeks full-time medical office manager

Duties & Responsibilities:

  • Maintain responsibility for the day-to-day activities of the office.
  • Supervise medical office staff including:
  •  -front office (scheduling, check-in, check-out)
     - medical records
     - clinical staff
     - billing and coding
  • Optimization of physician scheduling and patient flow.
  • Administration of patient satisfaction surveys to improve customer service.
  • Maintenance of office equipment and facilities.
  • Maintain contact with vendor and pharmacy representatives.
  • Assist in the development and establishment of office policies and procedures and also ensure adequate execution, staff compliance, and need for amendment or update.
  • Assist in development of organizational objectives and plans for their achievement.
  • Promote effective communication and flow of information within the practice.
  • Appropriately delegate portions of activities and responsibilities to practice staff. Also ensure that staff understand assigned responsibilities and accountability is defined and understood.
  • Ensure all practice activities are carried out in compliance with organizational policies and procedures in addition to local, state, and federal laws and regulations.
  • Ensure compliance of employees with human resource policies of the practice.
  • Oversee practice compliance with state and federal healthcare mandated programs and regulations, including OSHA, CMS, fraud abuse prevention, etc.
  • Oversee preparation and maintenance of management reports that are necessary to carry out the functions of the practice.
  • Scheduling of medical office staff to ensure all areas are covered during office hours of operation.
  • Scheduling of staff training on practice management and electronic health record software.
  • Scheduling of staff training for state or government compliance bodies, including OSHA, CMS, etc.
  • Conduct appropriate written performance evaluations and recommend merit increases or probations / disciplinary actions.
  • Have working knowledge of third-party payors.
  • Negotiate third-party payor contracts as necessary.
  • Travel to conferences related to medical office management, electronic health records, continuing education, etc. as appropriate.

Qualifications & Experience:

  • Bachelor's degree in business or health related field.
  • Minimum of 5 years of staff management experience.
  • Minimum of 5 years of medical experience.
  • Proficient in MS Office programs, specifically MS Word and MS Excel.
  • Experience with electronic health records and billing (especially PCC).
  • Excellent problem solving, communication (both written and oral), and organizational skills.
  • Ability to supervise/counsel/discipline personnel.
  • Must submit to and successfully complete background check.

Salary: Negotiable based on experience.
